Privacy policy
the short version: we only keep what we needLast updated 5 November 2026
Who we are
London Crawler runs pub crawl games played on WhatsApp, starting with the Shoreditch Pub Crawl. London Crawler is run by Javier Diez Puente, 14 Boundary Street, London E2 7JE, United Kingdom, who is the data controller for the personal data described here. Contact us about anything in this policy at [email protected].
What we collect
- When you book: your name, your team name and how many people are in it, and the captain's WhatsApp number. In VS mode we also collect each team's name, size, captain's WhatsApp number and captain's email.
- When you pay: your email address and billing details, collected by Stripe on its own payment page. We never see or store your card number.
- When you play: the messages your team sends to our WhatsApp game, including answers, and your location if you choose to share it. We also record your score, time and hints used.
- If you send a suggestion or email us: what you write and your email address.
- When you visit the website: our hosting provider keeps short-lived technical logs, such as your IP address. We don't use cookies, analytics or advertising trackers on londoncrawler.com.
Why we use it, and on what legal basis
- To run your booking and your game (performing our contract with you): sending your booking code, starting the game on the right phone, checking answers and keeping score.
- To show the leaderboard (our legitimate interest in running a competitive game): your team name, time and score are public. Please don't use real names in team names if you'd rather not be identified.
- To keep records (legal obligation): payment and booking records for tax and accounting.
- To prevent misuse and improve the game (legitimate interest): for example, stopping a booking code from being used twice, and seeing which clues are too hard.
We don't sell your data, and we don't send marketing emails unless you've asked us to.
Who we share it with
We use these providers to run London Crawler. They only use your data to provide their service to us:
- Stripe: payments.
- Supabase: our bookings database, hosted in London.
- Cloudflare: website hosting, and forwarding email sent to our addresses.
- Resend: sending booking confirmation emails.
- Meta (WhatsApp): delivering game messages.
- Anthropic: checking whether a team's answer is right. Only the text of the answer and the question are sent.
- Our server host: running the WhatsApp game.
- Google Fonts: the website loads its fonts from Google, which receives your IP address.
Some of these providers are based in, or use, the United States. Where your data leaves the UK, it's protected by the UK's approved safeguards, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement.
How long we keep it
- Booking and payment records: 6 years, as UK tax rules require.
- Game messages and shared locations: 12 months after your game, then deleted.
- Leaderboard entries (team name, time, score): until you ask us to remove them.
- Suggestions and emails: 2 years.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to send it to you in a portable format. Email [email protected] and we'll reply within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Age
Our games are for people aged 18 and over. We don't knowingly collect data about anyone younger.
Changes
If we change this policy, we'll update it here and change the date at the top.
